16 July: End of Term Secondary Update

Thank you for your support of our transition project for year 6 to year 7 pupils. Here’s an update for Secondary schools on what to do next:

  • Check School Connections
  • Download .csv spreadsheets of your data.

1) Check School Connections

The team at SixIntoSeven have reviewed all LBBD school pupil lists and school connections and have identified 50 pupils across the borough where a pupil has matched but a school agreement is not in place. 

Remember that you can only see data on SixIntoSeven from primary schools that you have a School Connection with. To make sure this data is available for your school ahead of the pupils joining you in September please ensure a School Connection is in place as soon as possible.

To help you identify these schools, there is a new report on the Pupils tab called ‘Pupil Matches’. Where a pupil match has been identified (based on the UPN), and a connection isn’t in place, it will be detailed on this page.

This report will also

  • show you if there are any differences (such as a UPN match but different name) between the pupils on your list and the primaries’ lists.
  • show you any pupils on your list that have not matched with a primary school (labelled “Unmatched”). This might be because they are coming from a primary school that isn’t in the borough, or because an in-borough primary school has missed them off their list.

We will also be asking the primary schools to review their school connections again tomorrow so please ensure you have sent a connection request to all feeder primaries as soon as possible.

2) Download .csv spreadsheets of your new year 7 data.

Primary schools have added and published their data. You can now download csv files in the following sections of SixIntoSeven:

  • Pupil Information
  • Professional Judgements
  • Pupil Flags

To help explain the scale of the work that LBBD schools have completed across the borough to help pupils transition successfully, here are some key figures so far:

  • 3,114 pupils uploaded
  • 2,872 pupils matched with a primary school (positive UPN match)
  • 320 school connection requests sent
  • 2,872 Professional Judgements received
  • 2,693 Pupil Information forms received
  • 580 Pupil Flags received

Check School Connections 

The team at SixIntoSeven have reviewed all LBBD school pupil lists and school connections and have identified 50 pupils across the borough where a pupil has matched but a school agreement is not in place.  

The secondary schools have been asked to send Connection Requests to all primary schools that have matching pupils to ensure they can see your published data. Please check your ‘School Connections’ tab and accept any new connection requests. 

If there are no new connections but you think a secondary might still need to connect with you, there is a new report on the Pupils tab called ‘Pupil Matches’. Where a pupil match has been identified (based on the UPN), and a connection isn’t in place, it will be detailed on this page.

24 June: Post-deadline Secondary Update

Update for Secondary Headteachers and Colleagues

Primary colleagues were asked to complete and publish their information by Monday 21st June and the majority of primaries have now completed most of their activities. We appreciate you bearing with us while we continue to collect and outstanding information and ensure primaries are up to speed, especially as this is a very busy time for all colleagues.

Once primaries have completed their actions you will be able to download a full set of information in three spreadsheets which are formatted to be easy to combine if your data manager wishes.

24 June: Post-deadline Primary Update

Update for Primary Headteachers and Colleagues

Thank you for supporting SixIntoSeven this year.

The LBBD deadline for submitting all pupil data was Monday 21st June. Some primary schools still have tasks to complete, so as soon as possible should:

  • Complete and publish Professional Judgements for all pupils
  • Complete and publish Pupil Information forms for all pupils.

Where pupils are going to out of borough secondary schools you can still complete the information if the school requires it using the ‘unmatched’ option. If the out of borough secondary has requested information in a different format then you do not have to complete details on SixIntoSeven for them

14 June: Secondary Update

Dear Secondary Headteachers and Colleagues

Thank you for your support so far with our year 6 to year 7 transition project. We have been working with you all over the past few months to establish a secure, consistent way of collating information about your new pupils to help you prepare to support them, and are very close to completing this year’s process.

We have been using the SixIntoSeven portal to collect information from the primaries in three ways:

Attainment: a set of Professional Judgements in English and maths to identify where your new pupils are in their learning journey. Once all primaries have completed and published their judgements you can download a spreadsheet from SixIntoSeven in the “Professional Judgements” section to review gaps in learning, as well as pupils with high attainment.

Pupil Information Forms: a range of pupil background information to help support vulnerable pupils and identify any special requirements. Having this information in advance can help your team plan ahead to work with pupils as soon as they join you. Once all primaries have completed and published their forms you can download a spreadsheet from SixIntoSeven in the “Pupil Information” section.

Pupil Flags: Pupil flags are recorded in SixIntoSeven in two ways for LBBD schools: in the “Pupil Flags” section which primaries may have completed to indicate a wider conversation should be had about a pupil (this should have taken place during the transition day on 27th May); or as a specific flag within the Pupil Information Forms (see above) to note a particular area that needs further discussion directly with the primary.

Primary colleagues have been asked to complete and publish their information on or before Monday 21st June. Once the deadline has passed, we will work with the team at SixIntoSeven to identify gaps and collect missing information so please bear with us for a few days after the deadline before reporting issues.

Actions for Secondary Schools in SixIntoSeven:

  • Ensure your Pupil list is up to date (in the “Pupils” section) – this is the list that SixIntoSeven uses to match your pupils so if a pupil is missing here, you won’t receive any information for them. As long as pupils are on your list in this section please don’t worry if they don’t appear in other sections yet.
  • Ensure primaries have accepted your School Connections. Connections must be in place to allow you to receive information. We are reminding primaries this week to review pending connections but please check your list to ensure you have requested connections with all relevant schools.

Out of borough primaries who are sending you pupils this year can be invited to take part via email through the School Connections section in SixintoSeven. There is no cost for primaries to participate and the SixintoSeven team can help you to explain to primaries how it works.

14 June: Primary Update

Dear Primary Headteachers and Colleagues

Thank you for your support so far with our year 6 to year 7 transition project. We have been working with you all over the past few months to establish a secure, consistent way of collating information about your year 6 pupils to help their new schools prepare to support them.

We have been using the SixIntoSeven portal to collect information for secondaries in three ways:

Attainment: a set of Professional Judgements in English and maths to identify where your pupils are in their learning journey. Primaries should complete the grid in the “Professional Judgements” part of SixIntoSeven to mark pupils as “Secure” or “Not Secure” in key areas.

Please publish your completed judgements on or before 21st June to be shared with secondaries. 

Pupil Information Forms: a range of pupil background information to help support vulnerable pupils and identify any special requirements. Primaries should complete as much detail as possible in individual pupil forms to share with secondaries. Remember to mark each form as complete at the bottom of the form so that it may be published and shared with secondary schools.

Unmatched pupils: SixIntoSeven has recently been updated to show Pupil Information forms for all pupils who are not currently on a secondary school’s intake list. We are working with Secondary schools to ensure all pupils moving to a LBBD secondary are on the relevant list but in the meantime you can find and complete unmatched pupil forms in the “Pupil information” section by clicking “Unmatched” in the dropdown. If there is no unmatched option that means you have no unmatched pupils.

Note: there is an option to input pupil information into a spreadsheet version rather than the forms. This option is not available for the Professional Judgements section which are already input into a grid. Please contact sixintoseven@askeddi.com to find out more about the pupil information form spreadsheet.

Pupil Flags: Pupil flags are recorded in SixIntoSeven in two ways for LBBD schools: in the “Pupil Flags” section which you may have already completed to indicate a wider conversation should be had about a pupil (this should have taken place during the transition day on 27th May); or as a specific flag within the Pupil Information Forms (see above) to note a particular area that needs further discussion directly with the secondary.

Primary colleagues should complete and publish all information on or before Monday 21st June. Please let us know as soon as possible if you are likely to miss the submission deadline and/or need additional support.

Actions for Primary Schools in SixIntoSeven:

  • Ensure your Pupil list is up to date (in the “Pupils” section) – this is the list that SixIntoSeven uses to match your pupils and populate other sections so if a pupil is missing here, you won’t be able to complete and publish any information for them.
  • Ensure you have accepted all School Connections. Connections must be in place to allow you to share pupil data with secondaries. Please check your list to ensure you have received connection requests from all destination secondary schools and contact them directly if they have not requested a connection with you yet.
  • Complete and publish all sections for all pupils: Professional Judgements, Pupil information Forms and Pupil Flags.

7 June News: Primary Spreadsheet input option

Further to requests from primary schools for more ways to enter pupil information into the Pupil information forms section of SixIntoSeven, we have worked to develop a spreadsheet option which can be worked on offline and then uploaded.

Here’s what you need to know:

We have converted the entire form into a spreadsheet which you can populate partly from your MIS and partly by manual input. We will send the form out w/c 7 June for you to complete and send back to us by Thursday 17th June to ensure that we can upload your information in time to meet the LBBD borough-wide 21st June submission deadline.

if you would like to use this option please email sixintoseven@askeddi.com to confirm the name, job title and email address of the person who will manage the process for your school. This person will use their email address to upload the completed spreadsheet to a secure Sharepoint location.

Please note: Any data that has already been input on pupil information forms in SixIntoSeven will be overwritten by new data in the spreadsheet.

The exception is any Wonde/MIS linked fields already present in the forms which will use the Wonde synced data unless the Wonde sync fields are changed by the schools (our team can help advise on the best course of action for this if you have any questions).

General update: 

The majority of primary and secondary schools have completed their set up on SixIntoSeven and are successfully using the system. Some schools have had problems with some elements of getting hold of pupil details and the borough are working closely with schools to resolve this. The askEddi team continue to support with all technical queries.  

Pupils missing from primary lists: 

Please note that for a primary to be able to complete Pupil Information forms on their year 6 pupils, the school connection must be in place with the destination secondary school and the pupil must have been uploaded to the secondary school’s pupil list on SixIntoSeven. 

If you are missing pupils from your list, please contact the secondary school directly as they may not be aware they have missed them. 

Transition Information Day 27th May: 

Primary schools were originally asked to add Pupil Flags and Pupil Information Forms by Friday 14th May for all pupils requiring additional support and a conversation ready for the Transition Information day on 27th May. As some of the secondary schools had not completed set up by this date, this had a knock on effect for primaries wanting to complete forms.  

BDSIP has collected information separately to set up the primary and secondary meetings for Friday and all secondaries should now have a list of the pupils they are expecting to talk about. 

Secondary schools can log in to SixIntoSeven to review the submitted Pupil Flags and Pupil Information forms to help prepare for these meetings. Missing forms could mean that the primary has been unable to complete and publish the form because the pupil is not on your list. Please check you have added the pupil in the Pupils menu (you can search by name) and then contact the primary school directly to let them know you would value information on the specific pupil.  

Primary Schools should attempt to complete Pupil Information forms on all vulnerable pupils in the next few days to ensure the secondary schools have the information to review before you speak with them.  

Data submission deadlines: 

LBBD have asked that all Pupil Information forms and Professional Judgements are completed and published by Monday 21st June. The primary headteacher (or delegated deputy/year 6 lead) must PUBLISH all information to ensure it reaches the secondary school. Please ensure your school publishes all completed work ahead of this date.  

Once primaries have published data, secondaries will receive a notification, and can monitor progress in their SixIntoSeven Account.  

Spreadsheet input option for primaries: 

Following feedback from primary schools about completing the Pupil Information in the online forms, we have been working hard to develop a spreadsheet option where primaries can input all information in one go and then send to us to upload. If your primary school would prefer to input information in this way, please email sixintoseven@askeddi.com to let us know and we will send you details off how to complete as soon as we have it up and running.

IMPORTANT: 12 May Primary Schools Pupil Forms Update

12 May 9am: SixIntoSeven system update

Following feedback from primaries about the time and resource required to complete the Pupil Information forms with lots of mandatory fields, we made a system change last night to move the majority of fields to optional.

This means that primaries can focus on inputting the most important information for each child instead of answering questions that aren’t relevant.

It also simplifies the process so that you can fill in the forms and mark as complete more quickly.

To help the destination secondaries support your pupils effectively you should complete as many fields in the form as you can, but the system will allow you to mark the form as complete with only a few fields filled in if you choose.

You will now find a new field at the bottom of each pupil information form called Mark Pupil information Form as Complete

Selecting Yes in this field will move this pupil information form into the complete section ready to publish.

** Please be advised that all pupil forms have now been moved back to “Outstanding” and you will need to mark each pupil form as complete as detailed above. If this change affects work you have already completed on the system please email us at sixintoseven@askeddi.com to let us know and we will mark your pupils as complete instead of you having to work back through your lists. **

  10. Look at “Documents” to see all accepted agreements for reference.

The borough has asked primaries to complete pupil information on the most vulnerable pupils by Friday 21st May (**moved from 14th May**) at the latest so that the information can be used as part of the borough’s transition day on 27th May.

 The LBBD SixintoSeven portal to support primary to secondary transition launches on Tuesday 4thMay.

On Tuesday you will receive an email from me with details of how to set up your school on the portal and complete the required actions.

There are a few things you can prepare in advance:

  1. Primaries connected with Wonde will be able to sync their pupil list and key pupil information fields automatically. The majority of LBBD primary schools have now accepted the Wonde connection.
  2. If your primary school is not using the Wonde connection you should download a list of all Year 6 pupils from your MIS (first name, last name, UPN) ready to upload to the system.
  3. Decide the person at your school who will be the lead user for SixIntoSeven – they will be the first one to register on Tuesday and will receive email notifications and updates from the portal. We recommend this is the Head or Deputy Head or that the Head or Deputy is present during set up to authorise acceptance of data sharing agreements. Additional users may be set up after registration to help with data or administration.

Important: Secondary schools have been instructed to register as soon as possible after launch and connect with their feeder primaries so that you can start inputting your pupil information. Primaries cannot view complete pupil information forms until the secondaries have connected with you.

Project update to Primary Schools 27 April 2021

Dear Primary Headteachers

I just wanted to update you in terms of the Y6/7 Transition working group developments.

  • AskEddi team is leading on the transfer of Y6 information via the SixintoSeven portal. There is a dedicated LBBD askEddi webpage https://sixintoseven.co.uk/lbbd/ and this will provide updates on developments.
  • This week there will be system testing. Lyndsey Beauchamp is the key link for any enquiries you or your staff may have. I have copied her into this email. The LA and askEddi team have been working closely with Yvonne Mason to ensure GDPR compliance.
  • A parent survey has been created for you all to share with your Y6 parents.  The deadline is Friday 28th May (last day of this half term).

I would like to thanks Jen Ferguson at Eastbury Primary who has helped shape this for me. Jen will also collate responses and send me each school’s results so that I can forward them to the individual schools. It is not asking for any sensitive information. The purpose of this is to ensure appropriate support is in place for Y7s next year. Please could we have as many schools as possible share with Y6 parents. I have also asked Admissions team to post the link on the LBBD website for Y6 parents.

  • BDSIP has sent out a request asking for your key leads and potential vulnerable pupil numbers. Many thanks to you all for the submissions. The LA has commissioned BDSIP to organise the Transition Information sharing days on 27/28 May.

Project update to all schools 16 April 2021

Dear Primary & Secondary Heads

I hope you have had a restful break!

Here is an update on our Y6 transition data transfer arrangements

LBBD Primary schools will need to connect their MIS with askEddi via Wonde, so that you can auto-populate the platform with some of the information for the pupils.

This email serves as an alert to expect this Wonde request tomorrow on 20th April so that we can get a head start on setting you up.

In terms of the process, most Primary schools have a connection with Wonde already. This means that the Primary schools’ Wonde administrator (most likely your IT person) will simply need to log in to the Wonde portal and approve the askEddi connection. There’s no additional cost for Primary schools to do this.

A template Data Protection Impact Assessment (DPIA) for your school to use if you wish is also attached and we have been working in conjunction with Yvonne Mason, DP consultant.

BDSIP’s Karen Noble is leading on the proposed surgeries for your key staff to discuss vulnerable pupils. Further details will be circulated soon. I understand a Microsoft Form will be circulated so we can collate a full set of key school leads to ensure this process runs as smoothly as possible.

In terms of the timeline, please see below:

19th April: PrimarySchools to be informed of the Wonde connection
20th April: Wonde will send the connection request to each Primary school
28th April: System testing with focus group schools
14th May: Vulnerable pupil information fields to be transmitted

Question: Where Can I Get Help?

Question: How can secondaries find out which are their feeder primaries?

Answered by: Daniel at LBBD school admissions team:

You can extract this information from SAMS into an Excel report.

Please select the relevant round and go to ‘Round Summary’.

Then ‘View Final Offers’ and in ‘Actions’, at the top of the page, select ‘Export all fields’ followed by ‘Export to Excel’

(There is currently a bug in the current version of SAMS, which will be resolved when we update the software in a couple of months, so you will need to complete the actions below to remove duplicated pupils) 

When you have exported the report into Excel, delete the very last column ‘Status last updated’ and ‘Preference status’ which is two columns in from there.

 

You can then highlight the whole spreadsheet and type ‘remove duplicates’ in the search bar at the top of the Excel spreadsheet.

Once the duplicates are removed, you can scroll across to the ‘Current School’ column for each child (Column BF)

Question: Who sends us our log in details?

Schools will register themselves on the portal at https://portal.sixintoseven.co.uk – we do not send out log in details.

The first user to register your school will set up the school account and create their own log in details when they go to the portal. Username is the email address they register with and they will set up their own password.

If a colleague has registered your school already your school will be marked as “registered” and that person can log in at https://portal.sixintoseven.co.uk with their email address and the password they set up. If they can’t remember their password they can request to reset using “forgotten password”.

That user can then add more users in the “user management” screen. New users will receive an email from the portal with a temporary password to log in to the school’s account.

Question: How do we find the pupil UPN?

Secondary schools usually receive the pupil names and UPN when admissions are confirmed. If they have any missing UPN you can ask the primary directly or read the DfE guidance here: https://www.gov.uk/government/publications/unique-pupil-numbers

Question: Sync with MIS/Wonde

Primary schools in LBBD have the option to sync SixIntoSeven with their MIS via a Wonde connection to allow import of key pupil information including pupil name, UPN, gender and DOB. Primary schools will have been contacted to set up the Wonde link and will have the option to “Sync with Wonde” once logged into SixIntoSeven and using the “Pupils” menu.

A small number of primary schools have experienced issues with not all data syncing directly, This is likely to be a set up issue where optional boxes were left unticked.

LBBD have invested in SixIntoSeven Plus as our central Transition Portal, allowing primaries to securely transmit year 6 pupil information to destination secondaries.

We are looking forward to supporting schools in May, June and July 2021 to use the system to streamline administration and workload around transition, while ensuring that the vulnerable pupils in our borough can be provided for effectively.

  • 19th April: Primary Schools to be informed of the Wonde connection
  • 20th April: Wonde will send the connection request to each Primary school
  • 28th April: System testing with focus group schools
  • 4th May: System available for all schools to register at https://portal.sixintoseven.co.uk
  • 14th-21st May: Vulnerable pupil information forms and Pupil Flags to be transmitted
  • 27th May: BDSIP transition day
  • 21st June: All Professional Judgements and remaining pupil information forms to be transmitted. Primaries should inform the team at LBBD as soon as possible if this deadline will be missed.
