16 July: End of Term Secondary Update

Thank you for your support of our transition project for year 6 to year 7 pupils. Here’s an update for Secondary schools on what to do next: 

  • Check School Connections 
  • Download .csv spreadsheets of your data. 

 1) Check School Connections 

The team at SixIntoSeven have reviewed all HEP school pupil lists and school connections and haveidentified 74 pupils across the borough where a pupil has matched but a school agreement is not in place. 

Remember that you can only see data on SixIntoSeven from primary schools that you have a School Connection with. To make sure this data is available for your school ahead of the pupils joining you in September please ensure a School Connection is in place as soon as possible.   

To help you identify these schools, there is a new report on the Pupils tab called ‘Pupil Matches’. Where a pupil match has been identified (based on the UPN), and a connection isn’t in place, it will be detailed on this page.   

This report will also   

  • show you if there are any differences (such as a UPN match but different name) between the pupils on your list and the primaries’ lists.  
  • show you any pupils on your list that have not matched with a primary school (labelled “Unmatched”). This might be because they are coming from a primary school that isn’t in the borough, or because an in-borough primary school has missed them off their list.  

We will also be asking the primary schools to review their school connections again tomorrow so please ensure you have sent a connection request to all feeder primaries as soon as possible.   

2) Download .csv spreadsheets of your new year 7 data. 

Primary schools have added and published their data. You can now download csv files in the following sections of SixIntoSeven:  

  • Pupil Information 
  • Attainment data
  • Pupil Flags 

To help explain the scale of the work that HEP schools have completed across the borough to help pupils transition successfully, here are some key figures so far:   

  • 3,023 pupils uploaded  
  • 2,427 pupils matched with a primary school (positive UPN match)  
  • 591 school connection requests sent   
  • 2,303 Attainment reports received  
  • 2,102 Pupil Information forms received  
  • 306 Pupil Flags received

Check School Connections 

The team at SixIntoSeven have reviewed all HEP school pupil lists and school connections and haveidentified 74 pupils across the borough where a pupil has matched but a school agreement is not in place.  

The secondary schools have been asked to send Connection Requests to all primary schools that have matching pupils to ensure they can see your published data. Please check your ‘School Connections’ tab and accept any new connection requests.  

If there are no new connections but you think a secondary might still need to connect with you, there is a new report on the Pupils tab called ‘Pupil Matches’. Where a pupil match has been identified (based on the UPN), and a connection isn’t in place, it will be detailed on this page.    

This report will also

Update for Secondary Schools 28 June

 Secondary update, post submission deadline

Dear all,

As you know, Primary colleagues were asked to complete and publish their information by Friday 24th June and the majority of primaries have now completed some, if not all, of their activities.

We appreciate you bearing with us while we continue to collect any outstanding information and ensure primaries are up to speed, especially as this is a very busy time for all colleagues.

Once primaries have completed their actions you will be able to download a full set of information in three spreadsheets which are formatted to be easy to combine if your data manager wishes. Access this information anywhere you see a blue “download” button.

We are working on two new features:

Pupil PDF download – click on any pupil name in the Attainment and Pupil Information sections to generate a pupil-on-a-page report to download – available now, please see here.

Pupil Matches – use the pupil matches report feature in the Pupils section to check any discrepancies in pupil names between primary and secondary and spot any gaps in information – available later this week.

Out of borough primary schools - how to join

Dear Headteacher, 

Join us on SixIntoSeven! A secure, GDPR compliant, cloud based portal for year 6 to year 7 transition which is free for primary schools to use. 

Our school is now using SixIntoSeven as a consistent way to communicate pupil pastoral and attainment information and we hope that your school will join as part of our network.  

We will send you an email from SixIntoSeven in the next few days (please check your spam folder) with details on how to register. 

The information we would like you to complete about your year 6 pupils covers SEND, wellbeing and attainment. When you have filled in the relevant sections, SixIntoSeven will securely share the information with us (based on a UPN match).  

By agreeing to share this information with us, we can see where your Year 6 pupils are in their learning journey and use that information to inform our planning for when they join us in September. We want to ensure that your Year 6 pupils’ new teachers can act on the vital pastoral and academic information that you send us. Read more about our Hounslow-wide SixIntoSeven project on this page.

This process replaces any forms or spreadsheets that you usually receive from Hounslow secondary schools, and we hope you will use the portal to ensure the best possible start for your pupils when they join us. 

The portal will guide you through what you need you do but here is a list of key actions to set up your school: 

  • Primary school leaders accept connection requests or register their school at https://portal.sixintoseven.co.uk. 
  • Review and accept system agreements for data sharing and GDPR. 
  • Set up additional users in “User Management” to help complete tasks on the portal on behalf of the school. 
  • Accept connection requests from destination secondary schools in “School Connections” (it’s important to ensure this action is completed for us to receive the information when you publish). Review and update any outdated connection requests from previous years.  
  • Use “Pupils” screen to upload a list of Year 6 pupil names and UPN using a CSV template (available for download in the portal) 
  • Complete the Pupil Flags, Pupil Information and Attainment sections. Publish this data once you have completed it. 
  • Click “Help” to visit the SixIntoSeven website to read FAQ or request support.

HEP Pupil Attainment - new SixIntoSeven section 21 May

HEP Pupil Attainment section now available for primaries to complete on SixIntoSeven.

New feature added to SixintoSeven – in addition to the pastoral forms that primaries complete for all pupils, there is now a separate attainment section (“Attainment”), found in the left hand menu. Our updated Factsheet (below, right) shows the menu as it now appears for HEP schools.

HEP primary schools will use this area to record pupil attainment in reading, writing, maths and science. The criteria are: ‘0 = has not met’, ‘1 = working towards’, ‘2 = expected’ and ‘3 = greater depth’.

Primaries will input the corresponding number into the grid, save as they go along and then publish to be shared with the secondary.

Secondaries will download the data and use to plan for their incoming year 7.

For our group of schools this replaces the Professional Judgements section which you can ignore.

The deadline to complete Attainment data for all pupils is 24th June 2021.

  • Review and accept system agreements for data sharing and GDPR.
  • Read a brief introduction to the portal and the dashboard.
  • Use the tasks list (right of screen) or menu bar (left of screen) to navigate around the portal.
  • Set up additional users in “User Management” to help complete tasks on the portal on behalf of the school.
  • Accept connection requests from destination secondary schools in “School Connections”. Review and update any outdated connection requests from previous years.
  • Use “Pupils” screen to upload a list of Year 6 pupil names and UPN using a CSV template or Wonde connection (if set up).
  • Look at “Documents” to see all accepted agreements for reference.
  • Click “Help” to visit the SixIntoSeven website to read our FAQ or request support

Actions to complete before 24 June:

  • Add and publish flags next to pupil names in “Pupil Flags” to let the destination secondary school know you would value a further conversation about pupils
  • Complete and publish “Pupil Information” forms for all pupils
  • Complete and publish attainment.

Important: Secondary schools have been instructed to register as soon as possible after launch and connect with their feeder primaries so that you can start inputting your pupil information. Primaries cannot view complete pupil information forms until the secondaries have connected with you.

When your primaries have completed their actions (on or before 24th June) you will be able to do the following:

  • View and download published “Professional Judgements” on attainment topics.
  • View and download all “Pupil Information” forms.

Important: Secondary schools must register as soon as possible after launch and connect with their feeder primaries so that the primaries can start inputting their pupil information. Primaries can’t start their activity until secondaries have connected with them.

 

 

Frequently Asked Questions

How can I get help with a question or a technical problem?

Who sends our log in details?

Schools will register themselves on the portal at https://portal.sixintoseven.co.uk – we do not send out log in details.

The first user to register your school will set up the school account and create their own log in details when they go to the portal. Username is the email address they register with and they will set up their own password.

If a colleague has registered your school already your school will be marked as “registered” and that person can log in at https://portal.sixintoseven.co.uk with their email address and the password they set up. If they can’t remember their password they can request to reset using “forgotten password”.

That user can then add more users in the “user management” screen. New users will receive an email from the portal with a temporary password to log in to the school’s account.

How do we find the pupil UPN?

Secondary schools usually receive the pupil names and UPN when admissions are confirmed. If they have any missing UPN you can ask the primary directly or read the DfE guidance here: https://www.gov.uk/government/publications/unique-pupil-numbers

Sync with MIS/Wonde

Primary schools in HEP have the option to sync SixIntoSeven with their MIS via a Wonde connection to allow import of key pupil information including pupil name, UPN, gender and DOB. Primary schools will have been contacted to set up the Wonde link and will have the option to “Sync with Wonde” once logged into SixIntoSeven and using the “Pupils” menu.

A small number of primary schools have experienced issues with not all data syncing directly, This is likely to be a set up issue where optional boxes were left unticked.

Is there a template message to encourage out of borough schools to join?

Bear in mind these are for all users of the system, not just the HEP version, so we’ll work with the borough to help provide some additional wording for what to say to non-HEP schools around the pupil information forms and attainment. The HEP factsheet is available to download at the bottom of this page.

We will share resources here when we have more.

 

Does secondary data download directly into SIMS?

Secondaries will be able to download a spreadsheet of all of the information straight from SixIntoSeven once primaries have published (on any page that there’s a download button: pupil flags, attainment and pupil information), and then you can use the data however you want to. It can be uploaded straight into your MIS but you will need to ensure that’s a match for the specific field.

 

Is there a quick way of seeing who to contact about pupil flag?

When  pupil flags are published by the primary schools, they are asked if they would like to include an email and/or telephone number. If the primary school inputs the information, this will be detailed in your CSV download.

It’s worth noting that the email/telephone number provided is for all pupils, rather than per pupil
